This role works alongside another existing Box Office Coordinator – together, the Coordinators share responsibility for the overall running of the St George’s Box Office. The Box Office is a core part of St George’s, and covers both front-of-house and back-of-house work. Front-of-house, the Box Office welcomes and communicates with our audiences, along with providing a key ticket sales and customer service function. Back-of- house, the Box Office deals with primarily events-based administration, and works closely with multiple teams across St George’s including (but not limited to) Marketing, Events, Development, and Café Bar.

St George's are looking for someone who’s great with people, and cares about ensuring that their customers have an excellent experience: whether that’s in person, over the phone, or online. This Coordinator role has a particular focus on team management, sales, and event-based administration. The role would be well suited to someone with existing front-of-house sales and management experience, along with systems and written communications experience, and strong attention-to-detail.

The Coordinators are line managed by the Head of Marketing & Communications. The Coordinators line manage the casual pool of Box Office staff.

This is a part-time, permanent role.

Duties & Responsibilities:

• Coordinating and delivering events administration – including setting up events on the system, completing post-event admin, and working with other teams across St George’s throughout this process.

• Line management of Box Office casual team – first point of contact for Box Office casual pool of staff. Responsible for Box Office rota, and staff timesheets.

• Recruitment and training of any new Box Office casual staff.

• Liaising with Events team, ticketing system providers, and external event stakeholders – e.g. regarding ticket allocations, and guest lists.

• Monitoring Box Office inboxes and responding to customer enquiries.

• Cash handling and Box Office banking (including cashing up, reconciliations, and reporting to Finance.)

• Ensuring smooth Box Office event delivery processes, including shift handovers, ticketing preparation, and liaising with Events and Café Bar teams.

• Responsible for ongoing Box Office processes and system maintenance e.g. cleaning data in CRM, ensuring seating plans and pricing structures remain current and consistent.

• Representing the Box Office team at staff meetings, team meetings and cross-team meetings.

• Working with the Development team to assist with facilitating outreach ticketing schemes, and purchasing of lower-level memberships (via Box Office system).

• Represent St George’s Bristol at sector events where relevant to Box Office.

• Across all areas of working, communicating consistently and proactively with the other Box Office Coordinator – including handovers, cover, and distribution of shared tasks.

• Assist in other areas of the St George’s Bristol operation as directed by the Head of Marketing & Communications.

Salary & working pattern

Salary:  £13,860 for 22.5 hours/week (£23,100 FTE)

Hours of work: 22.5 hours in person at St George’s Bristol, across Monday-Friday (equivalent to 3 working days, 10am-6pm, with 30 min unpaid lunch break).

Working pattern: Ideally a full day on Tuesday, and two additional full days out of Wednesday, Thursday and Friday. However, there is some flexibility in this.
