Full Time, Fixed Term (6 months with the potential for extension)

Hours:  29 - 36.25 per week (4 – 5 days, negotiable)

Reporting to: Head of Collections

Responsible for: Library and Collections Volunteers

Part of: The Brunel Institute / Collections and Education Directorate

Liaison with: Interpretation Team, Marketing Team, Visitor Experience Team, Volunteering Team.

Aims: To carry out collections care activities, collections management processes (with a focus on cataloguing and digitisation), facilitate access to the collections (both digitally and physically) and help supervise the David MacGregor Library in the Brunel Institute.

Main areas:

  •  Provide digital and physical access to the Trust’s Designated Collection.
  • Assist the Head of Collections in maintaining excellent standards of documentation in accordance with Spectrum and ACE Accreditation standards.
  • Carry out documentation procedures relating to museum objects, including accessioning, photographing and making electronic records for new acquisitions and existing collections.
  • Upload content and maintain the online collections catalogue and image sales platform to enable image licensing for publications, as well as reproduce images for retail purposes.
  • Develop object history or other files as required.
  • Produce inventories of objects and other files as required.
  • Carry out marking and labelling of objects and library materials as required.
  • Follow agreed security processes to ensure the security of the library and object collections, including managing visitors’ physical access to the Brunel Institute.
  • Assist with the management the Integrated Pest Management System in the Brunel Institute, Dockyard Museum and Being Brunel.
  • Carry out monthly conservation cleaning of the Archive Vault and Conservation Suite.
  • Manage visitors’ safe use of the Brunel Institute to ensure both their learning and enjoyment, and the safety of the collections.
  • Supervise the open access sessions ‘Archive in Five’, creating a welcoming atmosphere for visitors.
  • Together with the other Collections Officer, oversee the Library and Collections Volunteers to ensure that work is proceeding at a pace in line with the Collections Plan and to a satisfactory standard.
  • Carry out duties in accordance with the Museums Association Code of Ethics and current legislation.
  • Any other reasonable duties as required, including regular weekend and evening work, and occasional out-of-hours responsibilities.

Knowledge, skills and experience

Essential

  • Understanding of good practice and experience in documentation work and collection management procedures, including SPECTRUM
  • Experience of working with collections in a museum/heritage environment
  • Experience of using a collections management system
  • Demonstrable experience of computerised data entry and carrying out digitisation of collection items
  • IT skills in Word, PowerPoint, and Excel
  • Excellent time management skills
  • Initiative and the ability to work unsupervised, with a flexible approach
  • Ability to respond to changing priorities and competing demands
  • Commitment to continuing professional development
  • Attention to detail
  • Demonstrable experience of engaging with the public

 Desirable

  • Knowledge and experience of using the collections management database Axiell Collections
  • Experience of managing volunteers
  • Understanding of copyright issues for heritage institutions
